Meeting minutes – Wednesday, January 21, 2004

 

Board members present: Dave Barnhill, Wendy Embs, Mark Kellogg (late), Mark Thomas (no), Chuck Murdoch, Angie Schneider, Larry Tait (late), Tony Harris (late), Toni Harris

Others present – Bob Russo

Meeting called to order: 7:36 p.m.

Review meeting minutes from October, 2003

Angie Schneider moved to approve October minutes as written, seconded by Wendy Embs – approved unanimously (No meeting in November or December)

 

AGENDA

A. Reports and Old Business

  1. Mark Kellogg – Treasurer’s Report

- $9516 principal, $4305 interest

- $13821 owed – made a payment of $15K

- will find out balance – believes it’s $55K ($9,K of $13K went to principal, and extra $3K went to principal) – now down to $45

- Interest is high (7.75%) (we received $80K loan without collateral)

- Angie will see if Jack can help

- estimated payments for lights will end in 2007 (5 years)

- will compile 501(C)(3) information and bring to next meeting

- tax exempt number and contributions are made from larger corps and clubs to get tax write off

- some companies limit their contributions to 501(C)(3)

- with >$30K in general account, Dave wants to continue thinking about looking for property

 

  1. Chuck Murdoch – CASL Rep/Fields Report
  2.  

    - E-Licensing clinic – want it full (with 25) so they don’t have to cancel

    - only 1 coach is required to get it

    - coach req’d to have it within one year of coaching

    - all coaches must have Risk Management Card on sidelines

    - CASL told not to ask for RMC until get it straightened out

    - U16/U19 tryouts at SZ on Wed., Jan 28 at 5:15 pm – 6:30 pm

    - anticipate 5-10 boys playing premier

    - New program for younger kids through CASL starting at U8-U9 is being researched for fall (good turnout on CAYT)

    - want to compete against TNT’s youth program

    - possible mixed area teams - north, south, east and west

    - premier program

    - CAYT may or may not continue

    - Dan coaches girls

    - Bill Boyle coaches boys

    - Tom Maier stepped down from CASL board (President)

    - Chuck read through grant info re: sprinkler system

    - don’t meet reqt’s including commitment from school

    - hasn’t taken any action on it

    - will need to meet with Terry Raeburn to discuss field situation

    FIELDS

    - USSF coaches will practice on same date, time and field

    - Dugouts are in place with canvas tarps – paid for by Booster Club

    - need volunteers to provide finishing touches

    - Bob wants to know if Fuerstenau is available for practice and will it be mowed.

    - too soon to know

    - Chuck says Fuerstenau is being used

    - Gunnisonville torn up

     

  3. Tony Harris – Communications Report

- Needs info re: 4x4 winners and pictures

 

 

  1. Larry Tait – 4x4 Tourney Report
  2. - Working on getting people to help make calls on promotions

    - Bob will help Mark K.

    - Still looking for a food service sponsor

    - Bob will talk to Paul ?

    - Bob guarantees we will have 150 teams at this year’s 4x4

    - Ox Roast change in date hurt

    - Bob/Chuck will check on date for Ox Roast so we can inform other

    communities

    - Wendy commits that Chuck Embs will provide and organize refs

    - Kirsten Vilona will help

    - DSC Board Representative needed on the Ox Roast committee

    - meeting is 3rd Monday of the month starting in May

     

     

  3. Mark Thomas – AYSO Representative / Fields Report – not present
  4. - We do not provide paint, etc. to AYSO

    - To support all the soccer programs, we should pay for the older kids (full-sided teams) to host and have their games at the Sports Park

    - Chuck wants the DSC to pick up all the fees for the AYSO games played at the Sports Park

    - We take part of AYSO space with short-sided teams playing at high school

    - Bob suggests we talk to City to determine their wishes re: use

    - Have Mark put together a proposal

    - AYSO information is available on the website

    - $30/game to play at the Sports Park

    - We need to pay City for our fall games

    - June payment for $600 for spring of 2003

    - City doesn’t send a bill; Mark will talk with Jason Eppler about how and what to pay

    - Where does the money come from to pay for the field?

    - "Field fee" is not just to take care of the fields

    - Previously had $5 fee/family to join the club -

    - USSF games are paid for out of the DSC

    - should explain on website and other literature discussing soccer how monies are spent and where they come from and the new website.

    - use our website in a manner similar to Soccerzone. Publish schedules, etc. on the website

    - get a business card for website

    - refer parents, kids, etc. to website to get all their information (schedules, results)

    - Tony will make a link to CASL website to get schedule

     

  5. Tom VanderWoude – Training and Education Report
  6. - Worked on SZ camp

    - Dan Jury told him to pick a date

    - Last year was June 16-20, corresponds to June 14-18 this year (9-10:15, noon – 2:00 p.m.)

    - needs 1400 fliers and work with Superintendent’s office, pass out after spring break (Tom will bring to next meeting; get it to Tony for website)

    - will get info for website

    - SZ will include it in their mailings

    - only promoting through schools and SZ mailings

    - we get 25% cut

    - Dan authorized maximizing promotions

    - MLS camp info on website – Terri Bailey is contact – we have nothing to do with it

    - Coaches training and referee training – USSF and AYSO mandatory training through MLS – Tom will speak with Mark Thomas about it

     

  7. Angie Schneider - Golf Tournament Report

- spoke with Kirk Sherman

- if we have it on a weekend similar to last year – it would be May 7

- he’ll agree to move it to May 21 without raising the cost

- with shotgun start, it’s easier to begin in the morning (10’ish); will start on 3rd nine (it’s a little tight) and move to the first nine

- will deliver box lunches to course

- when everyone comes in, can do silent auction, appetizers and get everyone out by early afternoon and on with their weekend; also easier to get his boss to buy in

- Rhonda Sepic will help with door prizes

- is starting to work on sponsorships (joint work with 4x4)

- will get info to Tony for the website

- using same brochure with new dates and times (will start at 10:00 a.m.)

- goal is to get them out early in February

- Bob volunteered to help get sponsors

- $100 hole sponsorship

  1. Wendy Embs - USSF Representative Report

- Spring registration with coaches will be on February 10, 2004 from 6-7:30 must be received by Feb. 15th, will mail by Feb. 12th

- there will be a coaches meeting where the coaches will be instructed that they will keep their same time and days and fields for practices, ask for info on how teams are doing for website, golf info, 4x4 info, when they can put their application for the following years

- inform all coaches that they must have their applications in by April 15th

- need info published in DBR and Witt Channel

- apps available to submit on dewittsoccer.org website or email to dewittsoccer.org

- Wendy will quit at end of spring sign up and tryouts – FOR REAL

- On website – need ad for new USSF Representative

- looking into registration at Schavey Road or HS commons area

- will email to board and contact the coaches

- will contact coaches re: E-licensing as required by CASL

- Bob Russo suggested calling Rod Olson

- Wendy’s new email – wjaembs@hotmail.com

- Tryout dates to be discussed – several teams going to Petoskey

- For elite league – contact President (field standards are awful, tough to pass)

- can refuse to play there

- good refs, nice teams
